The Administrative Assistant supports the management team and all personnel by carrying out general administrative tasks and activities. He/She is a member of the general administration team, acting always in a professional and confidential manner and with the aim of facilitating a great team-working experience.

The role:

• Provides secretarial support
• Ensures all incoming mail and communication is handled promptly and professionally
• Prioritises and brings forward to the Managing Director’s attention any pending issues that need to be acted on
• Organises meetings (coordinates with attendees, welcomes guests, sets up all required facilities, such as technical equipment, refreshments, etc)
• Creates and maintains a well-organised electronic and paper-based filing system.
• Makes travel arrangements for the team
• Travels and attends meetings abroad whenever necessary in order to provide secretarial support
• Compiles management reports or presentations and assists in special projects when needed
• Facilitates the internal communication flow as well as communication with the other company subsidiaries, and ensures that company policies and other information are communicated all the way from the top down
• Acts as a company ambassador at all times, builds strong working relationships with all internal and external stakeholders
• Monitors supplies of office stationary
• Oversees the office area and reports any maintenance or other issues
• Performs other ad hoc administrative tasks, as required

Candidate profile:

• Excellent command of the English language (verbal and written); knowledge of additional languages will be considered an asset
• College or university education
• PC literate and with excellent knowledge of MS Office (Word, Excel, PowerPoint)
• Work experience as Personal/Executive Assistant, Office Coordinator or other relevant role is required
• Able to communicate in a professional manner and to maintain confidentiality
• Available to travel abroad when needed
• Flexible and able to adjust easily to all circumstances
• With attention to detail
• Well organised, able to prioritise effectively and with excellent time management skills
• Pleasant, enthusiastic and motivated personality
